Executive Support

The Executive Support exercises a horizontal support function for Frontex, in particular for the Senior Management. Members of the Executive Support advise and assist the Senior Management, by providing necessary expertise for the execution of their tasks. The members of the Executive Support are subordinated and report to the Deputy Executive Director (DED). Detailed rules on the internal organisation and tasks for the Executive Support may be adopted by the Executive Director (ED).

Aide-De-Camp

  • drafting of documents, correspondence, logistics and security of missions, practical arrangements for executive level cooperation with Member States, collection and distribution of information of relevance to Frontex;
  • preparing and coordinating issues related to the Management Board;
  • providing assistance to Directoriate meetings. 


External Relations Officers

  • provide advise in the field of Frontex external cooperation with third parties (third countries and international organisations);
  • facilitate the operational cooperation of the MS and Schengen Associated Countries (SAC) with third parties;
  • prepare the cooperation of Frontex with third parties;
  • develop and maintain a reliable, accessible and effective network of contacts with third parties competent in matters of border management, in order to enable Frontex units to monitor and follow the operational cooperation including the exchange of information and experiences, training, joint activities and/or pilot projects;
  • develop structured working arrangements with third parties in accordance with  the Frontex Regulation, aiming at sustainable partnerships;
  • to contribute to the development of external relations aspects of Frontex’ strategy as well as working plans;
  • assess EU internal and external factors capable of influencing the Frontex;
  • plan and prepare Frontex activities in terms of cooperation with EU institutions and bodies, as well as with other governmental and non-governmental organisations competent in matters of border management;
  • provide necessary instruments to enhance cooperation with EU institutions and entities as well as international organisations to bring added value to the operational activities of Frontex in the immediate, medium and long term planning of operations.

Frontex Liaison

  • exchanging information;
  • identifying and analysing Frontex relevant information and proposing, where necessary, actions to be taken;
  • monitoring and reporting on the decision-making process of the EU, in particular, related to the integrated border management;
  • attending meetings on behalf of Frontex and acting in those meetings on the basis of instructions from the relevant Director or Head of Unit (coordinated, where necessary, by the DED);
  • reporting regularly to Frontex not only on the above mentioned meetings, but also on other Frontex relevant events and measures;
  • establishing and implementing a procedure for Frontex to receive all relevant documents from the Community institutions;
  • facilitating first contacts with the Frontex Situation Centre (FSC) in urgent situations and events;
  • performing other legal tasks as assigned by the Chief Legal Advisor.

Controller

  • elaborate, propose and review the long term strategic planning of Frontex and development of activities based on the assessment of internal and external factors capable of influencing Frontex’ strategy;
  • coordinate Frontex strategic, operational and financial planning;
  • ensure that set objectives are in balance with resources;
  • implement the evaluation system of Frontex activities;
  • further develop the planning cycle as well as necessary tools and indicators as part of management information;
  • create an efficient system for monitoring implementation of Programme of Work including risk management;
  • inform the Senior Management of Frontex about risks of implementation through periodical reports;
  • report to the ED on strategic issues.

Quality Management

  • The Quality Management function advices and supports the Senior Management in all aspects of the implementation of internal control standards as well as provides quality advice in all management and policy areas. 

Information and Transparency

  • create awareness of the activities of Frontex by providing objective, reliable and readily understandable information on Frontex functions and activities;
  • ensure transparency of Frontex activities and their results in consistency with the security requirements;
  • act as spokesperson of Frontex by appointment of the ED;
  • support and facilitate public relations activities during Frontex operations;
  • facilitate internal communication;
  • create awareness on communication rules within Frontex;
  • create awareness on the use of Frontex corporate identity;
  • prepare the decisions of the DED on requests for Frontex documents
